Ask for dates before assigning roles

Collect availability for a specific month and agree how often each person wants to serve. An available date is not a confirmed assignment.

Download the availability workbook. Use Excel, or upload it to Google Drive and open it with Google Sheets. Collect answers privately and keep the coordinator’s master copy restricted.

What to ask

  • Name and ministry team.
  • Availability for each service: available, unavailable or unsure.
  • Roles they are trained to do.
  • How often they would like to serve.

Include rehearsals and arrival times. People do not need to explain why they are unavailable.

A message to send

Hi team, please send your availability for [month] by [deadline]. Mark each date available, unavailable or unsure, and tell me how often you’d like to serve. I’ll send your assignments for confirmation afterwards. Thank you!

Build the rota

  1. Follow up on missing replies. Do not treat silence as availability.
  2. Fill roles that need specific training first.
  3. Check for clashes with other ministry teams.
  4. Ask each volunteer to confirm their assignment.

If Sam is available twice but wants one assignment, schedule one. Check again before asking for extra cover. Refresh availability each month rather than assuming old replies still apply.
